A guide on configuring user voicemail and how to edit voicemail settings.
Voicemail is a feature that requires a user to be configured on. First you will need to navigate to a user in the domain view then select the voicemail tab.
In this guide we show the configuration and management through the online portal, in order for an end user to access and manage their voicemail inbox from one of their devices see How can an end user listen to and manage their voicemail?.
First you have an "Enable Voicemail" tick box, disabling this will cause the call to just hang up at any point where the call would have otherwise gone to this voicemail inbox.
The first 3 options determine what happens when an end user dials into this voicemail inbox to listen to voicemails.
'Number of messages' shows how many messages are currently stored in this inbox, with the 'clear messages' button deleting them all.
Send email when mailbox is full and after missed call will send a notification email to the email(s) configured in the user profile when said event occurs.
Here you can impose a max file storage limit on the voicemail inbox, as well as clearing all data.
WARNING: Clear data won't just delete voicemail messages, it will delete ALL recorded data within the user, including any custom greeting messages they or you have recorded.
From here you can customize what options you have in regards to the greeting message that is played, you can play the current message, change the message from the current message list, download an audio file of the current message, or manage the messages in order to upload more.
The voicemail message management uses a standardised format across the whole platform, for more information see What options do I have when uploading greeting messages?.
Email notifications let you send emails to the user's email(s) in their profile. These notifications can be configured to either send a hyperlink to a recording they can play in their web browser, or it can attach an audio file of the voicemail message.
You can also send "brief" emails, these are the same as the regular emails but with the email shortened for ease of use (shorter phrases and less branding).
You can also set what happens to the voicemail afterwards, you can have it leave it where it is in the inbox, move it to the saved folder, or delete it from the inbox entirely.
